About me

I turn work your team does by hand into systems that run on their own.

Most companies I help aren't broken. Things work. They just take too many people, too many spreadsheets and too many hours. I find that work, design a better way, build it and keep it running.

In plain English

Think of me as an architect for how your company works.

When you put up a building, an architect works out what it needs, draws the plans and makes sure it gets built right. I do the same for the daily work inside a company: the emails, spreadsheets, follow-ups, reports and data entry that eat your team's time.

I'm not a developer, and I don't sell hours. My job is to figure out what to build, build it and make sure it keeps working. You don't need to know what's possible or what it's called. You just need to tell me what takes too long.

What I replace

Still done by hand at most companies. Including enterprise.

None of this needs new technology. It just hasn't been built inside most companies yet, and the cost shows up as slow decisions, hidden errors and extra headcount.

Reporting

TodayFinance spends days rebuilding the same report. Leadership sees numbers that are already out of date. With a systemLive numbers from every system, in your inbox every morning.

Spreadsheets between departments

TodayCritical data lives in spreadsheets emailed between teams. Versions conflict and errors go unnoticed. With a systemOne source of truth that every department works from.

Data entry

TodayOrders, forms and invoices get retyped from emails, PDFs and paper. With a systemThe data is read and entered automatically. People only review the exceptions.

Sales outreach

TodayReps write and send prospect emails one at a time. With a systemPersonalized outreach and follow-ups go out every day. Reps only handle the replies.

Follow-ups

TodayLeads and requests depend on someone remembering. With a systemEvery inquiry is answered in minutes and tracked until it closes.

Quotes and invoices

TodayBuilt by hand, sent by hand, chased by hand. With a systemCreated, sent and followed up automatically, including late payments.

Key-person risk

TodayOne person holds the whole process in their head. With a systemThe process is built into the system, so it keeps running without them.

Audit trail

TodayNobody can say who changed what, or when. With a systemEvery action is logged, so compliance reviews start with answers.

Sound familiar?

People rarely say "we need automation." They say things like this:

"Only one person really understands our spreadsheets."
"Month-end close takes about a week."
"We send those emails one by one."
"Our salespeople follow up when they remember."
"We type in the orders that come in by email."
"That report eats up every Friday."
"We'd have to hire someone to handle more customers."
"It's a pain, but we've always done it this way."

If you hear any of these, introduce us. They don't need to know what they need. Figuring that out is my job.

Who I work with

Owners, executives and department heads.

I work with established companies up to enterprise, usually in operations, sales, finance or customer service. If a department runs on spreadsheets and repetition, I can help.

One of my current clients is worth hundreds of millions. When I came in, core operations lived across spreadsheets and disconnected tools.

HIPAA? FERPA? No problem.

Running a clinic, salon or service business? I have ready-made systems for those too:

How it works

Simple from your side.

  1. 1

    Talk and quick fix

    Weeks, not months

You tell me what's slowing your team down. I fix the most urgent piece first so you see results fast.

  2. 2

    Blueprint

    Yours to keep

I talk to your people, map how the work actually moves, and hand you a plan and a fixed quote.

  3. 3

    Build

    Built around your tools

I build around the software you already use, so your team doesn't have to start over.

  4. 4

    Support

    Ongoing

I keep it running, fix what breaks and improve it as you grow.

I get more done in a month than most teams get done in a year. The first call is free.
My story

I learned this running my own company.

$300  →  $50,000,000+

I started an international subscription and e-commerce company with $300 and no investors, and grew it past $50 million in sales. At its peak it did about $1 million a month with a team of more than 30.

A company that size only works because of systems: work that happens on its own, every day, whether anyone is watching or not. I built those for my own business first. Now I build them for other companies.

My brand's name stays private to protect my team. The numbers are real, and once we're talking I can share proof.

I want to introduce you to Victor Vauss. He takes the work a team does by hand, like spreadsheets, data entry, follow-up emails and reports, and turns it into systems that run on their own. He isn't a software agency. He works out what to build, builds it and keeps it running. Worth a short call to see what could come off your team's plate: https://www.victorvauss.com/about/
